Accountabilities & Responsibilities
The primary core responsibilities will include scheduling, expense processing, travel arrangements, meeting management, with some additional general clerical administrative responsibilities as requested.
Schedule and Coordinate Internal and External Meetings
- Coordinate meeting logistics, ensuring all requested tasks from meeting requestor and information regarding invited participants are tracked and handled accordingly.
- Liaise and coordinate with appropriate internal staff as required to provide support for internal meetings.
- Manage VP’s calendars, appointments, calls, meetings, and travel arrangements and itineraries, ensuring that all relevant information is posted completely and accurately.
General Support
- Process team members expense reports and submit through corporate T&E system.
- Coordinate, plan and secure travel arrangements to include ground transportation for staff through online travel system, adhering to guidance as defined with the system.
- Write and edit draft email correspondence, tables, charts, memorandums, presentations; prepare manuals, and related materials required by staff.
- Respond promptly to phone, mail, and e-mail inquiries on behalf of staff as requested; establish and maintain contacts, files, and electronic folders and email distribution lists in Outlook as well as Salesforce.
- Search and gather relevant background materials, biographies, and other requested information from the web and other sources to help prepare staff for meetings and projects.
- Edit content and provide data in format required (emails, reports, spreadsheets, PowerPoint, etc.).
- Proofread publications and other resources, checking hyperlinks, formatting, etc.
- Provide back-up support on an as-needed basis for other Operations team members.
- Perform other duties as assigned.

Knowledge, Skills & Abilities Required
- Advanced proficiency with Microsoft Office Word, Excel, PowerPoint, and Outlook.
- Strong organizational skills, with keen attention to detail.
- Ability to edit written documents and publications.
- Working knowledge of Salesforce (or similar CRM) and project management software a plus.
- Demonstrated time management skills with the ability to prioritize and complete multiple tasks quickly, accurately, and seamlessly while supporting other members of the teams.
- Strong interpersonal, teamwork, and communication skills.
- Self-starter who takes initiatives on requests/tasks; resourceful, with problem-solving abilities to diagnose and resolve administrative issues.
- Ability to exercise good judgment, transparency, discretion, and the highest levels of confidentiality.
- Possess good sense of Situational Awareness at a corporate level.
- Flexibility to work extended hours as necessary.
Required Experience, Qualifications & Education
- Bachelor’s degree or equivalent work experience
- 4-6 years related experience including track record of successful administrative support experience supporting multiple team members
