Summary of Role

The Human Resources Analyst is responsible for performing a variety of operational, technology and administrative tasks. These include but are not limited to HRIS data management, budget & invoice management, organizational reporting & analytics, and serving as a backup for HRMS activities. The Human Resources Analyst supports the HR team, employees and managers.


Accountabilities & Responsibilities

  • Serve as secondary administrator for HRMS platforms – Oracle Fusion HRIS and related systems.
  • Assist with managing system update requests and perform user acceptance testing of system changes and updates.
  • Act as a backup for the processing of new hires, terminations and employee data changes within various HR systems.
  • Perform cross-audit systems to ensure data integrity.
  • Research root cause of systems issues and develop systems administration procedures and end user guides as needed.
  • Responsible for developing additional end user documents and job aids related to common FUSION end user functions.
  • Develop process and systems documentations using Word, PPT and/or Visio.
  • Participate in delivering and supporting training as it relates to system upgrades/enhancements.
  • Responsible for auditing user data to ensure data accuracy and information completion.
  • Act as secondary administrator of YouEarnedIt for point allocation, redemption fulfillment, user data imports, and escrow fund management.
  • Trouble-shoot technical issues by applying specialized knowledge to understand root causes and resolve problems to ensure high quality to the Association business owners.

Budget & Invoice Management

  • Manage all business requests for Independent Contractors including classification assessments to ensure individuals meet IRS/DOL requirements for Independent Contractors.
  • Liase with Finance, Legal and business teams to create, update, and manage the Independent Contractor process and subsequent agreements.
  • Assist in the annual identification of spend for the next FY for all current vendors, based on current analysis of spend.
  • Reconcile HR team budget & prepare accruals and forecasts spreadsheet monthly.
  • Proactively identify overspend/risks associated with the budget.
  • Manage activities associated with legal/financial review, including working directly with Legal, Purchasing, and the business owners to ensure timely contract approvals and compliance.
  • Track and monitor vendor contracts, maintaining copies of current contracts and a renewal log, working directly with HR team to proactively update contract status.
  • Work directly with vendors to ensure accuracy of invoices, and researching/resolving of any discrepancies.
  • Review, create and process all purchase orders for Human Resources.
  • Review and process all invoices for Human Resources.
  • Identify appropriate financial coding for services and products.
  • Identify areas of process improvement within the team. Educate and present to team members to improve purchasing and budget compliance.
  • Perform benefit reconciliation by reviewing the list of enrolled employees and benefit invoice amount.
Project Management
  • Assist with coordinating project activities with team to ensure all project phases are documented appropriately.
HR Operations
  • Assist with HR audits by liaising with business owners and IA on data and file requests.
  • Maintain HR Intranet site and pages and manage site updates and enhancements.
  • Provide suggestions and recommendations on process improvements.
  • Assist with development & engagement scheduling as assistant administrator of LMS.
  • Liaise with business teams on YouEarnedIt point distribution requests and tracking of team point purchases for budget reconciliation
  • Perform ad hoc reporting including working with business teams to collect requirements and build reporting templates

Knowledge, Skills & Abilities Required

  • Analytical skills and the ability to draw conclusions based on sifting through workforce data.
  • Considerable knowledge of principles and practices of human resources, effective oral and written communication skills, excellent interpersonal skills.
  • Strong technology skills and super user in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to manage and prioritize multiple projects simultaneously.
  • Superior organizational, attention to detail and time management skills.
  • Self-starter; ability to work independently and multi-task.
  • Ability to provide excellent customer service to system users.
  • Financial analysis skills.

Required Experience, Qualifications & Education

  • 1-3 years of experience with HR systems/operations.
  • Previous process improvement, project management and change experience required.
  • Previous financial analysis experience
  • Previous budget, purchasing or invoice experience.

Preferred Experience, Qualifications & Education

  • Bachelor's degree in Business Management, Human Resources, Business Technology or other related field or combination of or equivalent combination of education and HR systems/operations experience
  • Experience with Oracle Fusion Cloud HCM, ERP and SharePoint or similar systems.
  • PHR or human resource certificate.
  • Participated in at least one HRMS system implementation.
