Summary of Role
Provide full, effective, consistent support to Executive Vice President and Vice Presidents. (Up to 5)
 
Accountabilities & Responsibilities
  • Provide full inbox management including reviewing, flagging, responding to emails, post and calls as appropriate to EVP.
  • Provide full diary management to EVP.
  • Manage travel arrangements, visas, itineraries etc as required.
  • Process expenses and provide support with budget management to EVP.
  • Providie full admin and secretariat support to the relevant Governance Committee.
  • Provide support to VP’s - Limited to diary management, travel arrangements and processing expenses.
  • Provide cover to other Executive Personal Assistants.
  • Ensure the EVPs are full briefed and prepared for upcoming meetings.
  • Participate in relevant directorate meetings, projects, events providing assistance as needed.
  • Preparation of Powerpoints, documents etc as required.
  • Responsible for preparing agendas and taking minutes and action points for meetings.
  • Liaising with highly influencer external stakeholders on behalf the EVP’s.
  • Ensure key information is brought to the attention of the EVP’s in a timely manner.
  • Keep up to date with the directorates current workload, issues, projects.
  • Responsible for maintaining the EVP’s electronic filing system.
  • Information share and build relationships with all teams reporting to the EVP’s.
  • Undertake all other relevant, project or tasks and administrative responsibilities as required.

  • Excellent time management and organisational skills with the ability to manage upwards
  • Excellent communication skills with knowledge of cultural differences around the world

  • A positive attitude towards learning, development and change 
 

Required Experience, Qualifications & Education

  • Ideally 3-5 years experience in a similar position supporting executive level roles.
  • Educated to A level standard or equivalent
  • Advanced MS office skills

 

Preferred Experience, Qualifications & Education

  • Proven experience as a Executive Assistant to one or more senior executives
