Summary of Role:

The Executive Assistant provides proactive administrative support to the COO, VP Strategy, VP Transformation, Director Governance. In addition, they support the Senior Manager Operations to coordinate the day to day operating model of the organization including key operational and strategic meetings, action items and overall program management.

 

Accountabilities & Responsibilities:

Provide administrative support

  • Serve as an internal and external face of the organization in the highest professional manner including phone and in-person discussions with leadership, Board members, members, and vendors.
  • Schedule meetings and actively manage meeting calendars; secure logistics as needed.
  • Screen calls and take messages; schedule appointments.
  • Arrange and coordinate global and domestic business travel (including air/hotel/ground transportation).
  • Assist with meeting logistics, including scheduling conference rooms, food & beverage, A/V needs (with IT assistance), if needed; may plan and coordinate special events.
  • Process business expenses and invoices for payment; monitor budgeted expenditures.
  • Support the analyze, prepare and review and report on annual budgets and monthly forecasts and financial reports.
  • Make copies, collate, and print documents as needed; updates team files/binders and other required records.
  • Support procurement and contracting with vendors and perform vendor set-up per organizational guidelines.

Support the executive and operating teams and functions

  • Support the executive team and operations of the organization by coordinating the overall program in collaboration with the Senior Manager, Operations including meeting scheduling, written correspondence, agendas, meeting minutes and tracking actions items and conduct applicable follow up in a timely manner and follow up as necessary.
  • Prepare PowerPoint presentations and project tracking for various meetings.
  • Manage and/or assist with budget and forecast related responsibilities for Finance & Accounting.

Drive team support and culture

  • Coordinate and drive team culture including team meetings, events and celebrations
  • Support broader Durham team with ordering office supplies and ensure office equipment if functioning properly.
  • Perform other duties as assigned.

  • None

Knowledge, Skills & Abilities Required:

  • Detail-oriented, with a commitment to timeliness, quality and accuracy
  • Highly organized with experience working for multiple people
  • Ability to satisfactorily set and balance priorities and complete tasks under time constraints
  • Strong calendaring skills and travel logistics
  • Ability to maintain confidentiality
  • Strong verbal & written communication skills; ability to provide information and interact with others with courtesy and tact.
  • Must be proactive and be able to perform satisfactorily with minimal supervision
  • Willingness to get involved in improving the team’s administrative processes  
  • Proficiency in Microsoft Office Word, Excel and PowerPoint

 

Required Experience, Qualifications & Education:

  • 5-7 years of experience in an administrative assistant role supporting executive level staff
  • High School diploma
  • Prior experience supporting executive level roles
  • Project management support

 

Preferred Experience, Qualifications & Education:

  • College degree
